Purpose of Job

The job holder is responsible for managing the Admin and Correspondence function in line with policies and procedures ensuring timeliness and quality of services.

Job Responsibilities

Strategy and Planning

•    Contribute to the development of Documentation & Administration business plan ensuring alignment with ZATCA strategy
•    Develop the operational plan for Admin and Correspondence in line with Documentation & Administration business plan and Finance and Administration strategic plan 
•    Implement plans and provide input to enable achievement of Admin and Correspondence goals that support ZATCA’s overall strategic plans

Budget Management

•    Discuss Admin and Correspondence budgeting requirements with top management and provide input to the budgeting process
•    Ensure effective utilization of Admin and Correspondence budget, and report accurately on progress made and challenges encountered
•    Investigate and propose implementing initiatives that result in positive financial impact for Admin and Correspondence and mitigates financial and operational risks

Administration Services

•    Ensure that incoming calls are answered and transferred according to protocols 
•    Ensure all services and equipment and rooms are available for set meetings, conferences, workshops, and training
•    Ensure reception area and offices are organized and clean at all times to leave a good impression on visitors and solidify ZATCA’s professional reputation
•    Manage supply of office equipment to ensure employees are well equipped to handle daily work
•    Ensure space allocation needs for employees and new joiners are met

Correspondences Management

•    Manage ZATCA correspondences including the collection, organization, sorting, recording, dispatching, and delivery of incoming and outgoing correspondences to relevant stakeholders
•    Manage digitization and archiving for incoming and outgoing correspondences for filing and tracking purposes
•    Manage requests for emails services and ensure they are fulfilled on time and that all incoming emails are handled promptly and forwarded to concerned parties

Transportation Services

•    Manage transportation services including setting schedule of driver, transporting eligible employees, and delivering correspondences and documents ensuring adherence with KSA traffic and transportation laws and regulations

People Management

•    Participate in the identification and recruitment of key talent
•    Guide, mentor and support direct reports in order to execute duties according to set policies and processes
•    Develop individual performance objectives, provide necessary support, evaluate/appraise team and provide regular feedback on performance
•    Establish a high-performance working environment and promote ZATCA values

Education

•  Bachelor’s degree in Business Administration, Public Administration, or equivalent is required 
•  Master’s degree in Business Administration, Public Administration, or equivalent is preferred 

Experience

 An optimal of 7 years of relevant experience, with a preferred 2 years of experience in managerial level
